Privacy Policy

MoveClerk is a crew-management app for moving companies. This policy explains, in plain English, what data we collect, why we collect it, and who handles it. We don't sell your data. We don't show ads.
What we collect, and why
- Account info: your company name, your name, username, and email (email is optional). Passwords are stored as one-way hashes — we can't read them.
- Crew info: crew member names, roles, phone numbers, and pay rates — so the app can dispatch crews and run payroll.
- Customer and job info: customer names, addresses, phone numbers, and email addresses; job dates, notes, and photos — so the app can schedule, dispatch, and document moves.
- Money records: quotes, invoices, and expenses you enter.
- Clock times: when crew clock in and out, including their location while location sharing is turned on for a job.
- Assistant chats: what you type to the in-app AI assistant, so it can answer and enter data for you.
- Phone notification subscriptions: if you turn on phone notifications, we store your browser's push subscription (the address your browser gives the app so it can send you alerts). It's deleted when you sign out or turn notifications off.
Everything above is collected because the app needs it to do its job. We don't collect anything else.
Who handles your data
- Resend sends the app's emails (verification links, password resets, customer updates, review requests).
- Stripe processes card payments. Card details go straight to Stripe — they never touch MoveClerk's servers, and we never see or store card numbers.
- Google AI (Gemini) powers the in-app assistant — your chats go to Google's AI service so it can understand and respond.
- Twilio sends the app's text messages (for example, "your crew is on the way" texts with a tracking link) — it sees the recipient's phone number, the customer's name, and the tracking link so the text can be delivered.
- Daily.co runs video estimates — when you or a customer joins a video estimate, the video and audio go through Daily.co's servers so the call can connect. Each room is made for one estimate and expires after 3 hours.
- Map services on the customer tracking page: the "where's my crew" page loads its map software from unpkg.com and its map pictures from tile.openstreetmap.org. Like any web page load, those services see the visitor's IP address — but they never get names, addresses, or any other MoveClerk data.
Each company gets its own isolated database — your data is never mixed with another company's, and the AI assistant only ever sees the company you're signed into.
Who can see what
Crew members (leads and movers) see only their own pay: their own pay rate and their own hours and earnings. Job amounts, expenses, truck costs, customer totals, and other crew members' pay are hidden from crew and visible only to the company's owner and partner.
How long we keep data
- Your data stays in your company's database as long as your account is active.
- We keep nightly database backups for 7 days, then the oldest ones are deleted automatically.
- If you ask us to delete your data, we delete it from the live database. It disappears from backups as the 7-day rotation turns over.
Your choices
- See or delete your data: email hello@moveclerk.com and we'll handle it.
- Cookies: the app uses session cookies to keep you signed in — one for the app, and a separate one for the private owner admin console. That's it. No tracking cookies, no ad cookies.
- Location sharing: crew choose when to share their location for a job. Sharing stops when they turn it off, and the last shared position stays visible on the customer's tracking page until the job is done.
We don't sell your data
We never sell, rent, or share your data with advertisers or data brokers. The only third parties that touch your data are the ones listed above, and only to run the features you use.
Changes to this policy
We may update this policy as MoveClerk grows. If the changes matter, we'll say so in the app. Continuing to use MoveClerk after a change means you accept the new policy.
