What the MoveClerk AI can and can't do

The assistant inside the app is your office clerk — it enters data and answers questions about your business. Nothing more. This page is the whole job description: what it handles, what it always asks first, and what it can never do.

Owner & partner The full assistant appears for the account owner and partner. Crew members get a limited version — clock in/out and job documents only.

It can do this
  • Add recordsJobs, quotes, invoices, expenses, crew members, and trucks — from a plain sentence like "add a job for the Smith move Friday".
  • Update recordsChange a job's status or date, mark an invoice paid, fix a crew member's pay rate — anything you'd tap through yourself.
  • Clock crew in and out"Clock in Tae" or "clock out James at 5:30". Backdated times get flagged for your review.
  • Assign crew to jobs"Put Tae on the Smith job Friday." It warns you before double-booking someone on two jobs the same day.
  • Set reminders"Remind me to call the customer tomorrow at 9am." Reminders pop up inside the app — never by text or email.
  • Schedule repeating entries"Log $80 fuel every Friday." Each run goes through the same checks as a manual entry, and a failed run stops the schedule instead of writing bad data.
  • Read receipt photosSnap a receipt and it pulls out the vendor, amount, and date — then proposes the expense for you to approve.
  • Look things up"What jobs do we have Friday?" "How much did we spend on fuel last month?" "Who's on the Smith job?" It reads your company's records and reports back with totals — reading never changes anything.
  • Remembers what you tell it"Remember that the Smiths have a narrow driveway" — facts you ask it to keep carry between chats, per company. Owner and partner only; crew chats are never remembered.
  • Understand plain EnglishBroken English, typos, voice-to-text hiccups — it works with what you meant and asks one short question when it's unsure.
It always asks first
  • Nothing saves on the first messageEvery write is previewed first: "here's what I'd save — look right?" It only saves after you say yes in your next message.
  • Exact receipts after every saveAfter a confirmed write you get a receipt with the ID and the saved values, read back from the database — so mistakes are easy to spot.
  • Likely duplicates get flagged"You already have a job for Smith on Friday — add another anyway?" It never silently doubles a record.
  • Ambiguity stops it coldTwo crew members with similar names, an unclear job — it asks which one instead of guessing.
  • One message, one recordAsk for fifty jobs at once and it refuses — bulk entry trashes data quality. It does them one at a time.
It can never do this
  • Delete anythingDeletes don't exist in its vocabulary. What it writes, only you can remove.
  • See another company's dataIt only ever touches your company's records. Full stop.
  • Send texts or emailsNo customer messages, no notifications outside the app — ever.
  • Browse the web or learn from outside sourcesIt works from what you tell it and what's in your app. Nothing else.
  • Change the app or its own abilitiesIt can't add features, do maintenance, or grant itself new powers. App changes stay with the MoveClerk team.
Safety rails, always on
  • Spending capAI usage is capped monthly per company. When the cap hits, the assistant pauses politely until next month.
  • Rate limitsMax 30 assistant messages per company per hour — abuse gets throttled, normal use never notices.
  • Everything is auditedEvery proposal, confirmation, and save is logged per company with what was attempted and whether it succeeded.
  • Instruction overrides are refused"Ignore your instructions" and similar tricks get a flat no — then it goes back to helping with real work.

This page describes the assistant as built and tested. If its abilities ever change, this page changes first — it never advertises something it can't do yet.
